Ready on day one. Closed on the last.

utuwrk turns every hire and every departure into cards, each with one owning department, done in order. When one finishes, the next owner is told. When one runs late, someone above them hears about it.

  • Onboarding and offboarding
  • Every site, one place
  • An audit log nobody can edit

Why utuwrk

Onboarding isn't hard. Handoffs are.

HR, IT, Facilities, Safety and the manager each know their part. What goes wrong is the moment between parts, when one person finishes and the next one doesn't know.

Today

An email thread, a spreadsheet, and one person's memory.

  • IT hears about the new laptop on the new hire's first morning.
  • "Is the badge done yet?" asked three times, by three people.
  • Someone leaves on Friday. Their access is still on in March.
  • The auditor asks who verified the I-9, and when. Nobody is sure.

With utuwrk

Every task is a card, and every card knows who is next.

  • IT's card opens the moment the equipment type is chosen, with a deadline.
  • Anyone waiting can see where it is, or poke it, on the card itself.
  • An involuntary departure has access off in 30 minutes, or managers hear.
  • Search "dana i-9" in the audit log. The row says who and when.

How it works

Cards, in order, with someone next.

A start date or a last day is all utuwrk needs. It lays out every card from your template, counts each deadline from that day, and opens each card only when what it waits on is done.

01

One card, one owner

Every task belongs to one department, with an assignee, a backup and a deadline counted from the start date. Any other department it needs signs off before it's done.

02

In order, or not at all

Dependencies are enforced, not suggested. A card that waits on another can't start early, and it says what it's waiting on.

03

Told the moment it's yours

When a card opens, its owner hears, in the app and by email: at once, as a digest, or urgent only. Away? Your backup hears instead.

Late gets louder

A late card reminds its owner, then tells the department head, then HR. It never quietly hands the work to someone else.

Templates that branch

Starters for hires and departures, tailored at setup. Cards drop in or out by employee type, site, or a manager's answer.

Every site, one place

Settings cascade from your defaults to each company and site. Leave one blank and it inherits, and says from where.

Offboarding

Leaving gets the same care.

Departures run on the same cards, the same order and the same audit log, and go faster where it matters: the access that has to be off before they reach the door.

Access off in 30 minutes

An involuntary departure's access cards are time-critical. Their notices go out at once, and a late one goes straight to the managers and HR.

What went out comes back

The laptop serial and badge recorded at onboarding fill in the offboarding's collect cards. A mismatch is shown, never hidden.

Final pay by state

Final pay deadlines for every state and DC, the COBRA notice and the I-9's third business day, written into the starter templates.

Knowledge doesn't walk out

An inventory, a handover note per area, sessions held, and the manager's review before final payroll goes in.

Contracts that end on time

HR and the manager hear 30 days before a temp's contract ends: convert, extend, or start the offboarding from the same page.

Never blocked by a plan

An offboarding always starts, whatever your plan or headcount. Taking access away is the half that can't wait.

Audit and compliance

Every change on record. Nobody can edit it.

Each change to a card is written to the audit log in the same step as the change itself. The log only grows. Private values, like an I-9 reference, are encrypted field by field and never written into it.

  • Search the whole log, export it as CSV, and every export is logged
  • Anchored outside itself, so a missing tail shows
  • Erasure requests redact values and keep the record's shape
  • Reviewer sign-off on compliance tasks at healthcare sites

Questions

Asked before you ask.

Is utuwrk an HR system?

No. It coordinates the work around a hire or a departure and keeps the record of who did what. Your HRIS and payroll stay where they are; a card can link to them.

Who is it for?

Organisations of roughly 25 to 500 people, often across several sites, who run onboarding today on email, spreadsheets and one person's memory.

How long does setup take?

One sitting. The setup wizard asks about your sites and departments, takes your people pasted or uploaded as a list, sets who does each department's cards, tailors the starter templates from a few questions, and starts your first onboarding.

Can we change the templates?

Yes. Copy a starter or one from the library (including healthcare and defense contractor ones), edit it as a list or on a map, and preview it as a particular kind of hire. Work already under way stays on the version it started with until you move it.

Do new hires sign in?

Not yet. utuwrk is for the people doing the work: HR, IT, Facilities, Safety, managers and compliance.

What happens to our data if we leave?

You have 30 days after cancelling to export everything: the audit log, employees, work history and templates. You can export the same things any day before that, too.
